Job Description
Remote administrative assistant supporting U.S. behavioral healthcare operations. Managing EHR records, prior authorizations, payments, and patient communications.
Responsibilities:
- Support the day-to-day administrative operations of a busy behavioral health practice
- Enter, update, review, organize, and retrieve patient, demographic, billing, insurance, and clinical-administrative information in EHR/EMR systems
- Maintain accurate, complete, and organized electronic patient records and documentation
- Submit, monitor, track, and follow up on pharmacy prior authorization requests and related appeals documentation
- Communicate with pharmacies, insurance companies, healthcare institutions, patients, clinicians, and internal administrative staff
- Respond to routine administrative patient questions and route clinical questions to licensed professionals
- Process patient payments accurately and securely and maintain payment records
- Use Google Workspace, Google Voice, and related systems for communication, scheduling, documentation, and data management
- Support therapists, psychologists, psychiatric providers, and administrative staff by reducing administrative burdens
- Follow HIPAA privacy, security, confidentiality, password, access-control, and cybersecurity procedures
- Maintain a secure workspace and report suspected privacy, confidentiality, or security incidents
- Follow through on tasks, document communications, escalate appropriately, and keep stakeholders informed
Requirements:
- Bachelor's degree in a relevant healthcare-administration, health-information, health-informatics, public-health, health-services, or healthcare-focused business field
- 3–5+ years of administrative experience in a healthcare setting
- Experience supporting healthcare professionals or healthcare organizations
- Previous experience using an Electronic Health Record (EHR) or Electronic Medical Record (EMR) system
- Strong understanding of healthcare administration and patient-information workflows
- Understanding of HIPAA, patient privacy, confidentiality, and protected health information handling
- Strong computer and data-entry skills
- Excellent attention to detail and accuracy
- Strong organizational and prioritization skills
- Ability to independently manage multiple administrative responsibilities
- Excellent written and spoken English
- Clear, professional, and easily understandable telephone communication
- Strong interpersonal and customer-service skills
- Ability to communicate effectively with patients, pharmacies, insurance companies, healthcare institutions, clinicians, and administrative professionals
- Ability to recognize issues requiring clinical judgment and escalate appropriately
- Strong proficiency with Google Workspace, including Gmail, Calendar, Drive, Docs, Sheets, Meet, Chat, and Google Voice
- Ability to work independently in a remote environment
- Ability to meet deadlines and follow established workflows
- Reliable high-speed internet access
- Professional and private workspace suitable for confidential healthcare information
- Preferred: behavioral-health or mental-health administrative experience
- Preferred: experience supporting psychiatric providers
- Preferred: pharmacy prior authorizations, insurance companies, healthcare payments, remote U.S.-based healthcare organizations, U.S. healthcare terminology, Google Voice, or sensitive behavioral-health information
