Job Description
Bilingual Virtual Medical Assistant supporting front desk operations for a mental health practice. Responsibilities include patient coordination, insurance verification, and administrative tasks.
Responsibilities:
- Answer inbound phone calls and respond to patient inquiries professionally
- Manage SMS/text communication with patients
- Respond to emails and maintain communication workflows
- Confirm upcoming appointments and handle rescheduling
- Schedule patient appointments accurately
- Coordinate calendars and manage provider availability
- Verify insurance eligibility using EOBs
- Determine co-pays, deductibles, and coverage details
- Work within RCM tools to check benefits
- Administer pre-appointment assessments (e.g., PHQ-9)
- Ensure patient forms are completed prior to visits
- Maintain accurate patient records and documentation
- Manage inboxes and communication channels
- Support overall front-office workflows
Requirements:
- Prior experience as a Virtual Medical Assistant or in healthcare administration
- Strong understanding of: o Insurance verification o EOB interpretation (co-pays, deductibles)
- Experience handling high-volume patient communication (calls, texts, emails)
- Excellent verbal and written English communication skills
- Strong organizational and multitasking abilities
- Ability to handle sensitive patient interactions with professionalism and empathy
- Experience in mental health or behavioral health environments (highly preferred)
- Familiarity with the following tools: o Valant EMR o Weave (phone/text platform) o Valentree o CareCloud
