Job Description

Bilingual Virtual Medical Assistant supporting front desk operations for a mental health practice. Responsibilities include patient coordination, insurance verification, and administrative tasks.

Responsibilities:

  • Answer inbound phone calls and respond to patient inquiries professionally
  • Manage SMS/text communication with patients
  • Respond to emails and maintain communication workflows
  • Confirm upcoming appointments and handle rescheduling
  • Schedule patient appointments accurately
  • Coordinate calendars and manage provider availability
  • Verify insurance eligibility using EOBs
  • Determine co-pays, deductibles, and coverage details
  • Work within RCM tools to check benefits
  • Administer pre-appointment assessments (e.g., PHQ-9)
  • Ensure patient forms are completed prior to visits
  • Maintain accurate patient records and documentation
  • Manage inboxes and communication channels
  • Support overall front-office workflows

Requirements:

  • Prior experience as a Virtual Medical Assistant or in healthcare administration
  • Strong understanding of: o Insurance verification o EOB interpretation (co-pays, deductibles)
  • Experience handling high-volume patient communication (calls, texts, emails)
  • Excellent verbal and written English communication skills
  • Strong organizational and multitasking abilities
  • Ability to handle sensitive patient interactions with professionalism and empathy
  • Experience in mental health or behavioral health environments (highly preferred)
  • Familiarity with the following tools: o Valant EMR o Weave (phone/text platform) o Valentree o CareCloud
