Job Description
Operations & Finance Manager running invoicing, bookkeeping, legal coordination, HR administration, and hiring. Supporting ProviPanda, the DACH region’s largest sales-job platform.
Responsibilities:
- Responsible for manual invoicing, including preparation, sending, follow-up, and payment reminders
- Entering invoices into DATEV
- Processing payments for outstanding invoices via Moss
- Managing preparatory bookkeeping and communicating with the tax advisor
- Managing Factorial, including vacation requests, time tracking, and sick leave notifications
- Coordinating payroll accounting and communicating employee data and changes
- Preparing monthly commission statements for the Sales team
- Responsible for collections and dunning procedures
- Planning team events, team calls, and workations
- Providing weekly reports directly to the Managing Director
- Communicating and coordinating with lawyers, legal protection providers, insurers, service providers, and freelancers
- Independently managing projects, such as website projects
- Reviewing and updating terms and conditions and data protection documentation as needed
- Managing the info@ inbox and serving as the first point of contact for legal inquiries
- Conducting initial interviews for new operational roles
- Organizing and technically preparing onboarding, as well as managing offboarding
- Providing technical onboarding for new employees and serving as the central point of contact for questions
- Screening candidates and conducting initial interviews for Operations hiring, as well as coordinating trial days in Sales
Requirements:
- Experience in invoicing, bookkeeping, finance operations, or general business operations
- Proficiency in DATEV
- Experience in payroll accounting and communicating with tax advisors
- Ability to independently draft and adapt contracts, NDAs, and legal documents
- Proficiency with Slack, Claude, Asana, or comparable project management and communication tools, or the ability to quickly learn new tools
- Experience with a CRM, such as Close or HubSpot, is a plus
- Thorough, structured, and reliable working style
- Discretion when handling sensitive financial and legal matters
- Strong organizational skills and enthusiasm for a broad range of responsibilities, from bookkeeping to hiring
- Self-directed working style in a small, direct team
