Job Description

Sales Operations Analyst supporting AI/HPC Hardware Sales and Business Development with operational responsibilities in a fully remote position.

Responsibilities:

  • Based in the United States or Canada.
  • Bachelor's degree in Business, Operations, Supply Chain, Finance, or a related field.
  • 1–3 years of experience in a sales operations, trade operations, logistics, or administrative role, preferably within a technology or hardware environment.
  • Familiarity with U.S. export regulations (EAR, ECCN classifications, OFAC screening) and international shipping documentation; formal compliance training or experience is a strong plus.
  • Experience coordinating with freight forwarders, customs brokers, or carriers, and working with shipping documentation (commercial invoices, packing lists, BOLs, SED/EEI filings).
  • Comfort researching and documenting product specifications (weight, dimensions, configurations) for logistics and compliance purposes.
  • Proficiency with CRM platforms (HubSpot strongly preferred); experience building reports, workflows, and dashboards.
  • Strong working knowledge of commercial document workflows — contracts, invoices, POs — and comfort coordinating with legal and finance stakeholders.
  • Familiarity with OEM/ODM/VAR partner portal processes and distributor registration programs is a strong plus.
  • Solid data skills: comfortable working in Excel or Google Sheets, and ideally with BI tools (Looker, Tableau, or similar).
  • Exceptional organizational skills and attention to detail — you catch the things others miss.
  • Strong written communication skills; able to draft clear, professional business correspondence.
  • Ability to manage multiple priorities in a fast-moving environment with minimal hand-holding.
  • Interest in or exposure to AI, HPC, data center, or enterprise hardware markets.

Requirements:

  • Draft, review, and process commercial documents including NDAs, sales agreements, purchase orders, and invoices in coordination with the sales and legal teams.
  • Maintain organized document repositories and ensure version control across active deals and partner agreements.
  • Support contract renewals, amendments, and compliance tracking for active vendor and customer agreements.
  • Assist the sales team in identifying and vetting hardware supply sources across OEMs, ODMs, distributors, and secondary market channels.
  • Track inventory availability, lead times, and pricing from active and prospective suppliers to support deal execution.
  • Coordinate with vendors on quote requests, allocation inquiries, and order confirmations to keep the sourcing pipeline moving.
  • Research and document product specifications including hardware configurations, weights, dimensions, and HS/HTS codes required for shipping and export filings.
  • Prepare and process export documentation including commercial invoices, packing lists, certificates of origin, shipper's export declarations, and any required EAR/ECCN filings.
  • Conduct denied party and export control screening in accordance with U.S. export regulations (EAR, OFAC).
  • Coordinate with freight forwarders, carriers, and customs brokers to ensure accurate and timely shipments.
  • Monitor shipment status and proactively resolve logistics issues, delays, or documentation gaps.
  • Maintain a compliance log for all international transactions and flag any items requiring additional licensing review.
  • Log and maintain accurate deal, contact, and account data in HubSpot (or equivalent CRM), ensuring the sales pipeline reflects current status at all times.
  • Build and manage workflows and automation to reduce manual data entry and improve pipeline visibility.
  • Audit CRM data quality on a regular cadence and flag inconsistencies to the BD team.
  • Manage the end-to-end process for registering Luxor as an authorized reseller, VAR, or distribution partner with OEMs, ODMs, and distributors.
  • Track registration status, renewal dates, and compliance requirements across all active partner programs.
  • Coordinate with vendor portals and partner teams to ensure Luxor's credentials and deal registrations are current.
  • Pull, clean, and analyze sales and pipeline data to produce weekly and monthly performance reports for leadership.
  • Build dashboards and visualizations to track KPIs including revenue, margin, pipeline velocity, and win/loss trends.
  • Support the BD team in preparing market analysis, competitive landscape summaries, and customer segmentation insights for quarterly business reviews.
  • Serve as the operational point of contact between Sales, Finance, and Legal for deal-related administrative needs.
  • Assist with onboarding new customers and vendors by coordinating documentation, compliance checks, and system setup.
  • Support the team at industry events and trade shows with logistics, materials, and follow-up tracking.
