Job Description

Part-time remote operations assistant managing calendars, contracts, invoices, and workflows. Supporting a founder across public health consulting and creative studio businesses.

Responsibilities:

  • Maintain the content calendar across LinkedIn, Instagram, and Substack
  • Work backward from publishing deadlines and prompt the founder for drafts
  • Send and track contracts and invoices across both businesses
  • Build and maintain onboarding workflows for consulting clients and workshop participants
  • Document standard operating procedures for recurring processes
  • Coordinate day-to-day logistics for active projects
  • Track materials for creative workshops and organize project files for health curricula
  • Research solutions, vet tools or vendors, and present clear recommendations
  • Identify administrative friction points and suggest practical improvements
  • Provide proactive operational support and accountability across both boutique businesses

Requirements:

  • Approximately 15–20 hours per month
  • Proactive, high-detail approach; ability to catch small errors and track deadlines independently
  • Ability to keep contracts and invoices meticulously organized
  • Comfortable shifting between healthcare consulting operations and a boutique creative studio
  • Direct, professional, and thoughtful communication skills
  • Confidence to ask questions or push back on unrealistic timelines
  • Proficiency with, or ability to quickly master, HoneyBook, Canva, ConvertKit/Kit, and task management software
  • Ability to work self-directed in an asynchronous, priority-driven environment without micromanagement
  • Experience supporting small businesses, solopreneurs, or managing dual operations
