Job Description

Operations & Administration Coordinator managing HR, finance, board governance, and team coordination for charity organization. Ensuring staff, volunteers, and trustees are well-supported to achieve the mission.

Responsibilities:

  • Monitor and distribute inquiries from the shared [email protected] account, ensuring timely responses.
  • Coordinate team-wide events, schedule meetings, and communicate vital deadlines to the broader organization.
  • Lead the organization of team retreats and engagement activities to maintain a healthy organizational culture.
  • Manage electronic filing systems, compile quotes for external services, and handle general office administration.
  • Maintain up-to-date and confidential personnel records and HR documents.
  • Coordinate the end-to-end recruitment process, including job postings, interview scheduling, and candidate communication.
  • Own the onboarding and offboarding processes for staff and volunteers.
  • Act as the primary point of contact for external bookkeepers, ensuring all incoming invoices are categorized and shared.
  • Raise outgoing invoices, set up electronic payments to suppliers, and approve incoming invoices for payment.
  • Manage the payroll system and pension contributions; serve as the first point of contact for contractor and payroll inquiries.
  • Ensure compliance with the charity’s governing documents and statutory requirements.
  • Act as a central point of contact between staff, volunteers, and the Board of Trustees.
  • Collate board reports, organize board meetings, and respond to requests for information from trustees.

Requirements:

  • Previous experience in operations, HR, or finance administration (ideally within the charity/non-profit sector).
  • A proven ability to manage multiple workflows (Board, HR, Finance) without dropping the ball.
  • Exceptional written and verbal communication skills for managing shared inboxes and board relations.
  • Proficiency in digital filing systems, payroll software, and collaborative tools (e.g., Google Workspace, Slack).
  • High level of integrity when handling sensitive personnel and financial data.
