Job Description

Payment Operations Specialist processing financial activities and client inquiries for a fitness technology company. Collaborating cross-functionally and supporting merchant accounts while maintaining compliance and data integrity.

Responsibilities:

  • Process and reconcile daily financial activity across multiple platforms — including ACH returns, chargebacks, refunds, and member payments.
  • Collaborate cross-functionally to resolve payment discrepancies and maintain clean, accurate records.
  • Review and verify documentation for merchant account onboarding
  • Support merchant account lifecycle changes (e.g., bank changes, legal updates, club transitions).
  • Assist clients via phone and email with payment- and merchant-related inquiries.
  • Monitor trends and identify opportunities for process improvement and risk mitigation.
  • Maintain PCI compliance and handle sensitive data with care.
  • Become a subject matter expert in integrated payments—understanding card brand fees, account structures, and regulatory guidelines.
  • Manage payment hardware needs, including procurement and client setup.
  • Document workflows and maintain internal systems (Salesforce, Microsoft Teams, etc.).
  • Lead initiatives and projects through to successful execution using planning, metrics, and structure.
  • Support occasional holiday and weekend on-call rotations, as well as overtime during peak periods or when needed for special projects.

Requirements:

  • 2+ years of relevant experience in accounting, payment processing, or SaaS
  • Strong analytical skills and experience with financial reconciliation and client account management.
  • Solid Excel and Microsoft Office proficiency.
  • Excellent communication skills—written, verbal, and professional tone.
  • High attention to detail and comfort with handling sensitive financial data.
  • An operationally focused mindset with the ability to drive cross-functional execution and outcomes.
  • Comfort working across multiple systems and monitors simultaneously.
