Job Description
Payroll Specialist processing complex multi-state payroll for Legacy Healthcare Services, a not-for-profit senior therapy provider. Validating variable compensation, deductions, compliance, and payroll reconciliations.
Responsibilities:
- Process and review biweekly payroll for a large employee population across multiple states
- Review payroll data for hourly, salaried, and pay-per-unit employees
- Validate unit-based compensation for clinical employees, including multiple unit rates and other compensation within the same pay period
- Reconcile payroll information between HR/payroll, electronic medical record/timekeeping systems, and other payroll source data
- Identify and resolve missing hours, units, incorrect rates, duplicate payments, and other discrepancies
- Review timecards, PTO, holiday pay, bonuses, differentials, reimbursements, and payroll adjustments
- Process and validate new hires, terminations, status changes, compensation changes, transfers, and other payroll-impacting changes
- Review payroll implications of transitions between full-time, part-time, and PRN status
- Calculate and validate overtime and regular rates for employees receiving multiple rates or compensation forms
- Process retroactive pay, payroll corrections, off-cycle payments, and other adjustments
- Review benefit deductions, garnishments, taxes, direct deposits, and other deductions
- Research and resolve employee payroll questions and discrepancies
- Partner with Human Resources, Operations, Finance, and field leadership
- Monitor deadlines and follow up on outstanding timecards, corrections, approvals, and required information
- Assist with multi-state payroll compliance
- Complete payroll audits and reconciliations before and after processing
- Assist with quarter-end and year-end activities, including W-2 preparation and reconciliation
- Maintain accurate payroll documentation and confidential employee records
- Identify recurring issues and recommend process improvements
- Assist with payroll system testing, implementation, upgrades, and process changes
- Perform additional payroll and HR-related responsibilities as assigned
Requirements:
- At least 1–2 years of hands-on payroll processing experience
- Multi-state payroll experience required
- Experience processing pay-per-unit, piece-rate, productivity-based, or similar variable compensation required
- Experience processing payroll involving multiple rates of pay within the same pay period
- Working knowledge of federal and state wage and hour requirements
- Understanding of regular-rate and overtime calculations involving variable compensation
- Experience researching and correcting payroll discrepancies
- Strong Excel skills and ability to work with large amounts of payroll data
- Experience working with payroll/HRIS and electronic timekeeping systems
- Strong mathematical and analytical skills
- Exceptional attention to detail and commitment to payroll accuracy
- Ability to prioritize competing responsibilities and meet strict payroll deadlines
- Ability to maintain confidentiality and appropriately handle sensitive employee information
- Strong written and verbal communication skills
