Job Description

Client Operations Coordinator managing tax-practice systems, client onboarding, and IRS resolution workflows. Supporting transcript retrieval, collection statements, and deadline tracking for GoFasti’s client.

Responsibilities:

  • Own the firm's client tracker and practice-management system, ensuring every task is assigned, dated, and current and every client record is complete
  • Run the intake and onboarding pipeline, including engagement checklists and collection of prior-year returns, bookkeeping access, and source documents
  • Confirm all required information is available before work is promised
  • Coordinate and follow up across preparers, accountants, and licensed reviewers; chase dates and flag slippage early
  • Maintain organized client files and current portal requests
  • Provide daily written status updates and a weekly view of on-track, at-risk, and blocked work
  • Call the IRS Practitioner Priority Service and ACS on behalf of clients
  • Obtain account data and organize and summarize transcripts
  • Track authorizations using Forms 2848/8821
  • Prepare Collection Information Statements (433-F/433-A)
  • Support installment agreements and CNC determinations for review and submission by the licensed team
  • Follow up on open IRS matters, including notice deadlines, hold expirations, and promised callbacks

Requirements:

  • English fluency
  • Based in Latin America
  • 3+ years in a tax, accounting, or IRS-resolution practice, or a comparable professional-services operations role
  • Direct IRS phone experience
  • Ability to document calls and ask the right questions
  • Documentation-first, steady, precise approach
  • Ability to work to dates and communicate in writing without being chased
  • Comfort with modern cloud tools and AI-assisted workflows
  • Familiarity with Financial Cents/Karbon/Canopy-class practice-management tools, QBO, and e-signature/billing platforms
