Job Description

Events Director leading GTIA’s 8-city roadshow for a technology industry association. Managing venues, contracts, budgets, production, and attendee experiences across markets.

Responsibilities:

  • Own end-to-end planning and execution of an 8-city roadshow series, with approximately 100 attendees per event
  • Lead venue sourcing, site visits, and recommendations for all roadshow cities
  • Design event flow, agenda structure, room configuration, food and beverage, staging and A/V, and attendee experience
  • Negotiate and manage venue, vendor, and supplier contracts
  • Develop and manage the master roadshow budget with city-level tracking and variance reporting
  • Coordinate with marketing, channel, and community stakeholders
  • Build and maintain production timelines, run-of-show documents, and onsite staffing plans
  • Serve as primary point of contact for venues and suppliers through post-event reconciliation
  • Conduct post-event evaluations and apply learnings across the series
  • Provide site selection and RFP management support for other GTIA meetings and events
  • Review and negotiate hotel, venue, and supplier contracts
  • Maintain a preferred venue database and supplier roster
  • Advise internal teams on venue options, market conditions, and contract risk
  • Deliver roadshow events on schedule and within the approved master budget
  • Achieve cost savings or concessions and favorable contract protections
  • Gather feedback and apply actionable learnings to subsequent events

Requirements:

  • Demonstrated expertise in venue sourcing, contract negotiation, and supplier management
  • Experience managing events of all sizes across multiple markets simultaneously
  • Proficiency with event management tools, budget tracking, and run-of-show documentation
  • Strong project management skills with the ability to manage multiple events and deadlines concurrently
  • Excellent communication and stakeholder management skills; comfortable working cross-functionally
  • Willingness to travel to all roadshow cities and other event locations as required
  • Degree preferred but not required for the role
  • 15+ years of event planning and management experience
  • Strong track record of executing multi-city or roadshow programs
