Job Description

Executive Assistant providing high-level administrative support to BGOS leadership for operational needs. Focused on scheduling, communications, and enhancing team efficiency in a remote environment.

Responsibilities:

  • Manage and coordinate complex calendars
  • Provide direct executive assistant support to ownership, including ownership coaching practice coordination and administrative needs
  • Deliver real-time operational support during Coach Community Gatherings, including uploading materials, managing communications, and coordinating digital platforms (e.g., Mighty Networks, WhatsApp)
  • Maintain and update BGOS collateral and training materials with a high level of accuracy and organization
  • Ensure all meeting materials, agendas, and resources are prepared and accessible in advance of BGOS sessions and Coach Community gatherings
  • Support internal communication flow across BGOS team members to ensure alignment and execution
  • Assist in organizing and maintaining BGOS systems, documentation, and digital assets
  • Identify opportunities to improve efficiency in administrative workflows and implement solutions
  • Utilize artificial intelligence (AI) tools to enhance, optimize, and streamline collateral and administrative processes where applicable

Requirements:

  • Minimum 3+ years of relevant experience in an Executive Assistant or Administrative role
  • Experience supporting executives or leadership teams in a fast-paced environment
  • Demonstrated proficiency in calendar management, digital collaboration tools, and administrative systems
  • Strong written and verbal communication skills in English
  • Ability to effectively operate and collaborate in a remote work environment
  • Basic mathematical and reasoning abilities
  • High level of discretion, professionalism, and organizational skills.
  • Experience working within a business operating system (e.g., EOS – Entrepreneurial Operating System or similar) (Preferred)
  • Familiarity with community platforms such as Mighty Networks or similar tools (Preferred)
  • AI proficiency with tools used for content creation, editing, or workflow automation (Preferred)
  • Bilingual ability (English/Spanish) (Preferred)
  • Experience in SaaS or coaching/training organizations (Preferred).
