Job Description

Executive Assistant providing administrative support to the executive team of a law firm in a remote setting. Requires expertise in legal terminology and proven experience in law firms.

Responsibilities:

  • Provide administrative support to senior partners and attorneys, including calendar management, scheduling meetings, and coordinating appointments.
  • Prepare, proofread, and organize legal documents, correspondence, and reports. Ensure that all materials are properly filed and easily accessible.
  • Handle client inquiries, schedule consultations, and assist with case-related correspondence while maintaining professionalism and confidentiality.
  • Assist with case management, including organizing files, tracking deadlines, and ensuring that tasks are completed on time.
  • Assist with generating and tracking invoices, processing payments, and maintaining billing records.
  • Perform basic legal research and assist in organizing case files, evidence, and documents for trials or client meetings.
  • Manage office operations such as preparing documents for hearings, managing deadlines, and overseeing daily office tasks to ensure smooth operations.

Requirements:

  • At least 3 years of experience as an Executive Assistant, Legal Assistant, or in a similar administrative role, preferably in a law firm or legal setting.
  • Strong understanding of legal terminology, procedures, and case management processes.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and document management software (e.g., Clio, Zoho, LexisNexis).
  • Familiarity with law firm billing and invoicing processes.
  • Excellent organizational skills with the ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Strong written and verbal communication skills with a professional and courteous demeanor.
  • High attention to detail and ability to maintain confidentiality.
  • Proactive, self-starter with the ability to work independently in a remote work environment.
