Job Description

Part-time Payroll Specialist managing accurate Canadian and U.S. payroll processing. Supporting HR, tax compliance, audits, reconciliations, and payroll system transitions.

Responsibilities:

  • Manage and process regular payroll cycles for employees in Canada and the United States
  • Review, validate, and process payroll changes, including new hires, terminations, compensation changes, bonuses, deductions, benefits, and employee updates
  • Import and reconcile timecard and timekeeping data and resolve discrepancies
  • Investigate and resolve employee payroll concerns and support HR with payroll questions
  • Process vacation, sick time, paid time off, leaves of absence, disability, unpaid leaves, returns from leave, final pay, and vacation payouts
  • Prepare and administer Records of Employment and required Canadian payroll documentation
  • Calculate and remit payroll taxes, statutory deductions, and employer contributions
  • Prepare payroll tax filings, reconciliations, government reporting, and year-end reports, including T4s, RL-1s, and W-2s
  • Prepare payroll reports and documentation for Finance, Human Resources, audits, and internal stakeholders
  • Maintain payroll controls and confidentiality
  • Support payroll-related account reconciliations and HR, payroll, and timekeeping system implementations or transitions
  • Coordinate with external payroll providers, government agencies, benefits providers, and other partners

Requirements:

  • 3+ years of hands-on Quebec payroll experience, ideally supporting both Canadian and U.S. payroll
  • Comfortable speaking and writing in both French and English
  • Strong knowledge of Quebec payroll practices, taxation, statutory deductions, year-end processing, and payroll compliance
  • Experience processing payroll using Desjardins / Employer D
  • Familiarity with U.S. payroll practices, payroll taxes, deductions, and year-end requirements
  • Experience with timekeeping systems and timecard imports and reconciliation
  • Experience processing vacation, leaves of absence, terminations, and other employee lifecycle changes from a payroll perspective
  • Previous experience supporting a payroll or HRIS implementation, conversion, or system transition is considered a strong asset
  • Experience supporting payroll audits and preparing payroll reconciliations and reports
  • Strong Excel skills and comfort working with payroll data
  • Excellent attention to detail, organizational skills, and ability to meet strict payroll deadlines
