Job Description
People Operations Specialist running employee lifecycle, HRIS and onboarding processes at SpotMe. Supporting a B2B event and life-sciences engagement platform through automation and employee programs.
Responsibilities:
- Run core employee lifecycle processes, including HRIS transactions for hires, promotions, contract changes, manager changes and terminations
- Prepare contracts and amendments for Legal review and submit payroll inputs before cut-offs
- Conduct right-to-work checks and track probation periods, work permits and employment certificates
- Manage offboarding across HRIS, payroll, benefits and final documentation
- Coordinate onboarding from offer acceptance through day one, including welcome information, HRIS tasks, equipment, travel, accommodation and first-day logistics
- Serve as the first point of contact for employee questions about leave, payslips, benefits, policies and processes
- Administer leave, PTO approval checks, people data, employee documents and HRIS records
- Submit monthly KPI and staff-change reports, weekly staff updates and maintain the org chart
- Administer employee platforms, coordinate with vendors and escalate issues
- Document and improve People Operations processes in the Handbook
- Automate repetitive work through workflows, templates, reminders and reports
- Support company-wide and team-level training, feedback sessions, retreats and team meetings
- Support rollout of the performance management tool, including configuration checks and employee training logistics
Requirements:
- Experience or demonstrated capability in People Operations, HR administration, employee lifecycle processes, or a related area (specific duration not stated)
- Ability to administer HRIS transactions, employee data, leave, onboarding and offboarding processes
- Ability to prepare contracts, amendments and payroll inputs and coordinate with Legal and Finance
- Ability to run right-to-work checks and track probation periods, work permits and employment certificates
- Ability to administer employee platforms and support users
- Ability to identify process gaps and automate repetitive work using workflows, templates, reminders, reports and AI assistants such as Claude
- Systems thinking across HRIS, payroll, reporting and employee processes
- Stakeholder management with Legal, Finance, managers and external providers
- Ability to answer routine People questions within 1 working day and escalate sensitive matters appropriately
