Job Description
Program Operations Specialist running administrative, technology, and data systems for Johns Hopkins’ Hire Hopkins employer engagement function. Supporting employer partnerships, student opportunities, events, reporting, and operational excellence.
Responsibilities:
- Manage the Hire Hopkins email inbox, triage inquiries, route messages, and track response status
- Plan, create, and distribute feedback mechanisms for employers, JHU stakeholders, and students
- Own Concur expense management, including processing, tracking, reconciliation, and policy compliance
- Maintain vendor relationships, contracts, subscriptions, and operational needs
- Support employer events, hiring initiatives, and treks through registration setup, Handshake configuration, materials preparation, and post-event tracking
- Optimize scalable administrative workflows
- Maintain the office technology infrastructure, including the website, SharePoint, CRM, Handshake, and other systems
- Update website content, employer partner information, and team materials
- Manage SharePoint organization, version control, and access permissions
- Execute CRM data entry, user access, and routine maintenance
- Collaborate with the Handshake administrator to monitor job postings and employer interactions and ensure proper tagging and visibility
- Serve as the operational liaison to the Office of Digital Transformation on technology operations, integrations, and platform support
- Support evaluation of new technology solutions
- Own data hygiene and accuracy across CRM, Handshake, event registration, and employer engagement systems
- Create, maintain, and analyze event records, registrations, surveys, and outcomes
- Partner with the Office of Digital Transformation on data cleaning, formatting, delivery, requests, and infrastructure work
- Analyze operational metrics, survey results, and event outcomes and recommend improvements
- Create regular internal reports on operational metrics, employer engagement, and event outcomes
- Use Excel and PowerBI to present operational insights to non-technical audiences
Requirements:
- Bachelor's Degree
- Three years progressively responsible experience in program administration in an academic environment
- Additional education may substitute for required experience under the JHU equivalency formula
- Additional related experience may substitute for required education beyond a high school diploma/graduation equivalent, where permitted
- Availability 9am–5pm EST, Monday–Friday

- Commitment to FERPA and PII data security compliance
- Preferred: five-plus years of experience in operations, program administration, or a related field
- Preferred: experience owning operational initiatives and complex projects in a multi-stakeholder environment
- Preferred: strong analytical skills and data-driven problem solving
- Preferred: advanced proficiency with Microsoft Office Suite and CRM systems
- Preferred: proficiency with Excel and PowerBI
- Preferred: website management and SharePoint administration experience
- Preferred: experience supporting a growing, multi-team office or function
