Job Description

Senior Executive Assistant managing the CEO's schedule and communications at a healthtech startup. Supporting operational efficiency and facilitating meetings and travel arrangements.

Responsibilities:

  • Manage the CEO's calendar and schedule.
  • Coordinate and optimize across meetings, priorities, and time zones.
  • Handle communications and serve as a key point of contact for stakeholders.
  • Facilitate meetings, prepare agendas, take notes, and follow up on action items.
  • Coordinate travel and logistics for meetings and events.
  • Streamline operations and improve administrative processes.
  • Handle occasional outbound calls on behalf of the CEO.

Requirements:

  • Minimum 5 years of experience as an Executive Assistant, Chief of Staff, or similar high-level administrative role.
  • Proven ability to manage complex calendars and coordinate meetings across time zones.
  • Strong English proficiency (written and verbal) and the ability to use tools like Grammarly or ChatGPT.
  • Excellent organizational and time-management skills with a proactive approach to problem-solving.
  • Ability to work consistent hours each day (approximately 8am-5pm PST), 5 days per week.
  • High integrity, discretion, and trustworthiness when handling sensitive information.
  • Willingness to sign an NDA and PII agreements.
  • Ability to use a company-issued MacBook for work.
