Job Description
Senior Facilities Representative managing workplace operations, vendors, security, and facilities services for PowerSchool’s cloud-based K-12 education software.
Responsibilities:
- Document, analyze and revise all office-related processes for facilities-related support services
- Purchase and track facilities-related materials and labor, and process invoices
- Define operational parameters for security badge processes and system maintenance
- Verify badges are current and operational; assist with badging staff, vendors, and temporary workers
- Lead administration staff and coordinate workloads and schedules
- Maintain facility databases and resource websites, and assist with special projects
- Lead meeting setup and coordination
- Review contractor/vendor scopes of work and assess impact on the PowerSchool environment
- Attend vendor meetings, coordinate interruptions or modifications, and oversee contractor work
- Inspect contractor work to ensure safe work practices and standard operating procedures
- Improve operations, reduce turnaround times, streamline processes, and provide seamless customer service
- Maintain effective relationships with internal and external customers, staff, and contractors/vendors
- Provide input into departmental operating and capital budgets; order supplies and monitor expenditures
- Lead projects and participate in office committees and teams, including the Safety Committee
- Perform other duties as assigned
Requirements:
- 5+ years experience
- Must exhibit honesty, integrity, and courtesy in all interactions
- Must possess strong work ethic in supporting customer needs, responding promptly and consistently
- Able to prioritize multiple, conflicting, urgent needs
- Able to work independently with minimal direction
- Effective communicator with all levels internally and externally, written and verbal
- Excellent Project Management Skills
- Proficient in Microsoft Office Software – Especially Word and Excel
- Must have knowledge or willing and able to learn other facility related software
- Knowledgeable with card reader systems and security procedures
