Job Description

USACS administrative coordinator supporting medical directors, hospital partners, and clinician onboarding. Managing schedules, meetings, expenses, systems, and site operations remotely.

Responsibilities:

  • Provide full-time administrative support to USACS System/Site Medical Directors and other site leadership
  • Perform or oversee clerical, administrative, reporting, and office management functions
  • Act as liaison between USACS locations, regional leadership, corporate office personnel, physicians, patients, and hospital personnel
  • Coordinate ED and inpatient administrative offices at USACS locations
  • Develop relationships with hospital personnel to support the USACS contract at the site
  • Coordinate schedules for Medical Directors, clinical leadership, and hospital administration
  • Manage Outlook calendars and integrate Zoom options into meetings
  • Manage Zoom meetings and ensure audio/visual functionality and attendee access
  • Coordinate meeting agendas, attend required meetings, and create minutes for distribution
  • Manage Workday Expense submissions through final approvals
  • Coordinate new clinician onboarding, including orientation, EMR training, ID badges, tours, meetings, and dinners
  • Support clinicians with Workday, Workday Expense, Shift Admin, and TCL systems
  • Connect with IT to resolve system issues when necessary
  • Coordinate site recognition programs

Requirements:

  • Minimum of three years’ administrative experience required
  • Thorough knowledge of and skill in using a personal computer in a Windows environment
  • Strong emphasis on processing electronic documents/attachments with Adobe
  • Excel Intermediate to Advanced Level
  • Knowledge of presentation and database applications and Internet usage
  • Attention to detail and ability to produce extremely accurate work
  • Ability to work with people at all levels of the organization and hospital partners
  • Ability to communicate professionally with employees, physicians, management, and external business contacts
  • Proper usage of correct English and grammar
  • Ability to maintain highly confidential information
  • Ability to process duties efficiently, stay organized, anticipate needs, and work accurately with limited supervision
  • Bachelor’s Degree preferred
  • Ability to sit for prolonged periods and occasionally walk, stand, bend, stoop, and lift up to 15 pounds
  • Close visual acuity required
