Job Description

Virtual Medical Assistant providing healthcare administration and digital coordination within a remote setting. Managing patient engagement, scheduling, and CRM support in a fast-paced environment.

Responsibilities:

  • Patient & Administrative Support
  • Manual data entry into EHR systems (evaluation & treatment documentation)
  • Manage patient appointment scheduling and calendar coordination
  • Handle follow-ups for cancellations, rescheduling, and patient updates
  • Maintain accurate and up-to-date patient records
  • CRM & Workflow Management
  • Support scheduling workflows using GoHighLevel CRM
  • Assist in managing patient communication pipelines through CRM systems
  • Ensure proper tracking of patient interactions and appointment flow
  • Digital & Marketing Support
  • Assist with patient communication coming through ads and social media platforms
  • Support coordination of inquiries from digital marketing campaigns
  • Assist with light social media and digital engagement tasks as needed

Requirements:

  • Experience in healthcare administration or virtual medical assistance
  • Strong proficiency in manual data entry with high attention to detail
  • Experience with GoHighLevel CRM
  • Familiarity with Athena Health (preferred)
  • Exposure to Aesthetic Record (preferred but not required)
  • Ability to work in PST hours, including flexible coverage when required
  • Strong organizational and communication skills
