Job Description

Administrative Assistant supporting Cisco sales directors in its AI and networking technology business. Managing calendars, meetings, travel, expenses, and confidential special projects.

Responsibilities:

  • Support two Directors in Americas SP – Technology, Media, and Communications
  • Manage and prioritize Directors’ calendars, schedules, and meetings
  • Decide who is added to the principal’s calendar, which meetings are attended, and who may attend in their place
  • Plan and coordinate meetings, including agendas, locations, WebEx/TP technology, and other logistics
  • Prepare meeting briefing documents, take and disseminate notes, and formulate post-meeting action-item lists
  • Act as proxy for communications and approvals as authorized
  • Answer general questions, refer routine matters to appropriate parties, and follow up on completion
  • Make travel arrangements and determine optimal travel itineraries for calendared meetings
  • Handle Cisco expenses and expense reporting
  • Provide analytical support for special projects
  • Research issues, analyze problems, compile data, and prepare reports
  • Handle sensitive and confidential matters and materials professionally
  • Attend monthly staff meetings and quarterly all-team meetings

Requirements:

  • 3+ years of experience in an administrative environment
  • At least 1 year of experience supporting a principal at Senior Manager level or above
  • Sophisticated knowledge of Mac/Windows desktop applications: Outlook, Word, Excel, and PowerPoint
  • Experience in calendar management, meeting planning, and travel coordination
  • Excellent verbal and written communication skills
  • Ability to connect with executive/senior staff and clients at all levels
  • Strong interpersonal skills
