Job Description
Administrative Assistant supporting two Cisco sales directors at a technology infrastructure company. Managing calendars, meetings, travel, expenses, communications, and special projects remotely across the United States.
Responsibilities:
- Support two Directors with calendaring, travel, expense reporting, and special projects
- Manage and prioritize Directors’ calendars, schedules, meetings, attendees, and delegates
- Plan and coordinate meetings, including agendas, locations, WebEx/TP technology, logistics, briefing documents, notes, and post-meeting action items
- Act as proxy for communications and approvals as authorized
- Answer general questions, refer routine matters, and follow up to ensure completion
- Make optimal travel arrangements and itineraries for Directors while handling Cisco expenses
- Provide analytical support on special projects through research, problem analysis, data compilation, and report preparation
- Handle sensitive and confidential matters and materials professionally
- Attend monthly staff meetings and quarterly all-team meetings as a core member of the Directors’ team
- Learn Cisco’s products, people, and organizational dynamics to independently manage incoming requests and referrals
Requirements:
- 3+ years of experience in an administrative environment
- Minimum one year of experience supporting a principal at Senior Manager level or above
- Sophisticated knowledge of Mac/Windows desktop applications, including Outlook, Word, Excel, and PowerPoint
- Experience in calendar management, meeting planning, and travel coordination
- Excellent verbal and written communication skills
- Ability to connect with executive/senior staff and clients at all levels
- Strong interpersonal skills
- Independent judgment and utmost integrity
- Ability to balance strategic and tactical actions
- Outstanding attention to detail
- Ability to handle confidential information
- Collaborative, improvement-oriented, problem-solving, and decision-making approach
- Past high-tech industry experience desired
- Prior Cisco experience preferred
- Associate degree listed under Preferred Qualifications
