Job Description
Brand Operations Specialist coordinating Brand team operations for Genesys. Managing schedules, meetings, and initiatives while leveraging AI for operational efficiency.
Responsibilities:
- Serve as a central coordinator for Brand team operations, ensuring alignment across priorities, timelines, and deliverables
- Manage and coordinate complex calendars across multiple time zones
- Support prioritization and workflow tracking to keep initiatives moving forward
- Maintain organization of key documents, timelines, and team resources
- Plan, organize, and execute complex meetings (including QBRs, leadership reviews, and team sessions)
- Coordinate logistics including scheduling, agendas, materials, venues, and technology
- Provide day-of-meeting support and ensure seamless execution
- Facilitate coordination of forward-looking plans, including QBR follow-ups and cross-team action tracking
- Help drive team engagement by supporting offsites, team events, and recognition moments
- Facilitate and coordinate the development of a forward-looking plan to adopt and optimize AI across the Brand organization
- Partner with cross-functional stakeholders to identify opportunities for AI-driven efficiencies and enhanced workflows
- Track progress of AI-related initiatives and ensure alignment with broader brand priorities
- Support change management efforts by helping document processes, share best practices, and drive adoption
- Oversee procurement and scope of work (SOW) support across vendors
- Manage global travel arrangements and prepare detailed itineraries
- Handle expense reporting and monthly reconciliation of credit card statements
- Support budget tracking, timelines, and documentation
- Assist with onboarding coordination and team-wide processes
- Partner with internal stakeholders including Legal, HR, Finance, and leadership teams to support team and organizational goals
- Build strong relationships across all levels of the organization
- Identify opportunities for improved coordination and operational efficiency
Requirements:
- Exceptional organizational and time management skills with strong attention to detail
- Ability to prioritize and manage multiple assignments with minimal oversight
- Strong judgment and ability to handle sensitive and confidential information with discretion
- Excellent written and verbal communication skills
- High level of professionalism and a customer-service mindset
- Ability to remain calm, adaptable, and solutions-oriented in a fast-paced, ambiguous environment
- Strong interpersonal skills with the ability to build trust and collaborate effectively
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat
- Comfort with emerging technologies and interest in leveraging AI to improve workflows and team effectiveness
- Ability to work both independently and as part of a team
