Job Description
Business Support VA managing client appointments and communications for a financial services company. Ensuring smooth coordination and engagement with clients through calls, texts, and emails.
Responsibilities:
- Call clients to book, confirm, and reschedule appointments as needed
- Manage the client’s calendar to ensure all meetings and appointments are accurately scheduled and updated
- Send reminders and follow-ups to reduce no-shows and improve client engagement
- Serve as the first point of contact for new and existing clients through phone, text, and email
- Maintain a professional and courteous tone when handling inquiries, resolving concerns, and confirming appointments
- Keep records of client communication and ensure timely follow-ups
- Set up and manage email campaigns using the company’s CRM (GoHighLevel)
- Segment client lists and customize outreach campaigns to target specific customer groups
- Track campaign performance and assist with refining communication strategies
- Use GoHighLevel (GHL) to log client details, track communication, and update appointment status
- Maintain accurate and organized client information within the CRM
- Build rapport with clients through consistent and friendly communication
- Follow up with leads who have expressed interest but have not yet booked an appointment
- Ensure a positive client experience from initial contact to confirmed appointment
Requirements:
- Excellent spoken and written English (near-native level; clear and easy to understand)
- Prior experience in appointment setting, client coordination, or customer service preferred
- Strong organizational and multitasking skills
- Familiarity with GoHighLevel (GHL) is required
- Tech-savvy and able to manage communications across different platforms (email, text, VoIP)
- Reliable, detail-oriented, and professional in client interactions
- Prior experience working with a business owner, company founder, etc (as an admin or executive assistant)
