Job Description

Executive Business Partner supporting the CFO in a remote role for a dynamic US-based company. Handling priorities, workflows, and initiatives to enhance financial performance effectively.

Responsibilities:

  • Own and manage the CFO’s calendar across multiple Google accounts, ensuring optimal prioritization, scheduling, and time allocation
  • Triage and manage inbox communications, drafting responses and handling correspondence on behalf of the CFO
  • Prepare meetings end-to-end: agendas, materials, briefing docs, and ensure follow-ups and action items are executed
  • Oversee vendor and contract administration across 20+ active vendors, including tracking deliverables and performance
  • Manage renewal calendars, proactively flagging upcoming deadlines and negotiating timelines where needed
  • Support exit readiness initiatives, including coordination of documentation and M&A data room preparation
  • Coordinate with legal teams on contracts, compliance, and documentation workflows
  • Book and manage complex travel arrangements, including multi-leg and international itineraries
  • Handle personal and property-related coordination tasks with a high level of discretion and reliability
  • Build and optimize internal systems using tools like Google Workspace, Slack, Notion, and DocuSign
  • Leverage AI tools (e.g., Claude, ChatGPT) to streamline workflows, automate tasks, and improve efficiency

Requirements:

  • 5+ years of experience supporting C-level executives (ideally CFO, COO, or General Counsel)
  • Proven experience in a fast-paced **e-commerce or DTC environment**
  • Strong experience managing complex calendars, inboxes, and executive communications
  • Hands-on experience with vendor management, contract administration, and renewal tracking
  • Exposure to legal coordination, compliance processes, or M&A support (data rooms, due diligence, etc.)
  • Advanced proficiency in Google Workspace, Slack, Notion, and DocuSign
  • Strong spreadsheet skills (data tracking, organization, and reporting)
  • Familiarity with EOS/Traction frameworks is a strong plus
  • AI-native mindset with demonstrated use of tools like Claude or ChatGPT in daily workflows
  • Exceptional written and verbal communication skills in English
  • Highly organized, detail-oriented, and able to manage multiple priorities simultaneously
  • Strong judgment and ability to operate with discretion and confidentiality
  • Proactive, resourceful, and capable of operating with minimal supervision
