Job Description

Finance coordinator supporting ERP timesheets, time-entry compliance, and reporting for Precision for Medicine’s clinical trial services. Managing helpdesk requests, discrepancies, onboarding, and month-end close support.

Responsibilities:

  • Support maintenance of financial systems, including ERP systems, with a primary focus on project time and expense
  • Manage the support services request system and respond to team members’ time-entry requests
  • Add and remove employees and contractors from projects to ensure accurate time tracking
  • Support onboarding of employees and consultants
  • Train team members on ERP navigation, time entry, approvals, and adjustments
  • Identify and address time-entry discrepancies
  • Manage the time and expense helpdesk
  • Administer and monitor timesheet data entry and correct timesheets as necessary
  • Monitor the daily timesheet administration checklist and ensure company policies are followed
  • Assist with large-scale timesheet adjustments
  • Track timesheet discrepancies and issues and communicate with the immediate supervisor
  • Provide timesheet information and customized reporting to Resourcing, Finance, Project Management, Functional Departments, and Human Resources
  • Process and monitor exception timesheets, including unapproved or unsubmitted project time
  • Provide timesheet reporting to Finance and other departments
  • Support the month-end close cycle from a time-entry perspective
  • Perform ad-hoc assignments as assigned

Requirements:

  • High School Diploma or equivalent/local equivalent education
  • Minimum three years of prior experience in a professional administrative role in a fast-paced environment
  • Proficiency in basic analysis tools/software, such as Excel
  • Strong communication and interpersonal skills
  • Strong attention to detail and ability to manage multiple tasks simultaneously
  • Strong Excel/Microsoft Office skills
  • Ability to work collaboratively with departments across the organization
  • Excellent organizational skills
  • Flexibility to work on multiple assignments with varying tasks
  • Ability to learn quickly
  • Ability to work independently and as part of a team
  • Proactive follow-up with staff to ensure compliance
  • Bachelor's degree in finance, business, or a related field (preferred)
  • Knowledge of Microsoft Office products such as PowerBI (preferred)
  • Timesheet Administration Services experience (preferred)
  • Global integrated ERP environment experience (preferred)
  • CRO industry experience (preferred)
