Job Description

Operations Assistant managing administrative tasks and customer service at a nearshore outsourcing company for US businesses. Ensuring efficient operations and effective communication across departments.

Responsibilities:

  • Manage the bulk of inbound lead traffic, answering phones, providing estimates, and booking jobs into the schedule.
  • Act as the "dispatch hub," communicating job details to crews in real-time and ensuring they have necessary site information (gate codes, water access, etc.).
  • Ensure 100% accuracy in the CRM, including customer contact info, job photos, and post-job invoicing.
  • Support the Manager by executing new initiatives and providing feedback on how systems are working on the "front lines."
  • Conduct "happy calls" post-service, request reviews, and follow up on quotes that haven't yet been booked.
  • Maintain total cross-training with the Manager to step into their seat seamlessly during absences or high-volume periods.

Requirements:

  • 1+ years in a fast-paced administrative or customer-facing role (e.g., dispatch, retail management, or scheduling).
  • Must be organized about details; able to manage a complex, shifting calendar without missing a single appointment.
  • Strong phone presence with the ability to build rapport quickly and "close" the lead by booking the service.
  • Ability to toggle between multiple software platforms (GPS, CRM, VoIP) and adapt to new tech updates instantly.
  • A "finisher" mindset, someone who takes pride in clearing the task list and ensuring all crews are accounted for before the day ends.
