Job Description
Virtual Assistant supporting operations and communication for promotional products company. Managing client interactions, vendor coordination, and backend systems for smooth business operation.
Responsibilities:
- Support daily operations and communication
- Manage client interactions and vendor coordination
- Help with backend systems that keep the business running smoothly
- Monitor and organize the email inbox daily
- Flag important client emails and vendor requests
- Create tasks based on emails and messages in Todoist or other tools
- Respond to basic client questions (with templates or direction provided)
- Contact suppliers for pricing, product info, shipping times
- Track orders and update clients with timelines and tracking
- Ensure quotes, proofs, and invoices are followed up on and filed
- Build item collections and presentations for clients
- Use Canva, PowerPoint, or ESP tools to design and organize decks
- Schedule time blocks for specific clients or projects
- Place sample orders for client review
- Order client gifts and manage shipping details
- Assist with organizing CRM or lead spreadsheets
Requirements:
- Excellent written and verbal English
- Organized, consistent, and proactive
- Familiar with Gmail, Google Sheets, WhatsApp, Canva, and/or ESP tools
- Willing to learn and adapt as systems evolve
- Good judgment and confidentiality with client/vendor info
- Social media experience is a plus
- Graphic design experience is a plus
- Familiarity with promo or gifting industry preferred but not required
- Knowledge of Shopify, Zoho, or similar CRMs
- Experience using Canva or similar design tools
