Job Description
Accounts Payable Specialist managing vendor communications, invoice reconciliation, and 1099 support for Aston Carter’s corporate talent solutions clients. Fully remote, New York-based contract-to-hire role.
Responsibilities:
- Maintain and monitor the accounts payable inbox, ensuring timely review and response to incoming emails
- Respond to vendor inquiries via email and occasional phone calls
- Research and review vendor statements, reconcile discrepancies, and provide status updates
- Resolve vendor issues and maintain positive, professional relationships
- Support statement audits by reviewing statements, identifying variances, and ensuring AP record accuracy
- Follow up on outstanding items and clarify invoice or payment details
- Contribute to invoice processing by coding, entering, and routing invoices
- Support 1099-related processes by gathering and reviewing vendor information
- Collaborate with AP leads, supervisors, and managers on specific functions and regional needs
- Perform additional accounts payable duties as assigned
- Communicate updates and raise issues promptly in a remote environment
- Meet deadlines, maintain consistent work hours, and follow through on commitments
Requirements:
- At least 1 year of accounts payable experience
- Experience working with vendor management and vendor inquiries
- Familiarity with 1099 processes and requirements
- Experience performing statement audits or reviewing vendor statements for accuracy
- Ability to manage and organize a shared inbox and respond to inquiries promptly
- Strong attention to detail with the ability to identify discrepancies and resolve issues
- Clear and professional written and verbal communication skills for email and occasional phone-based vendor outreach
- Reliability and accountability in a remote work setting, with the ability to work independently without close supervision
- Ability to learn quickly, adapt to new processes, and maintain a positive, can-do attitude
