Job Description

Administrative Assistant supporting Veracity’s insurance billing, processing, and account operations. Preparing policy documents, managing renewals, and improving administrative workflows remotely.

Responsibilities:

  • Provide comprehensive administrative support to Account Managers, Brokers, and departmental operations
  • Prepare, process, and distribute quotes, finance agreements, Accord applications, bind requests, invoices, and state affidavits
  • Conduct policy checks, manage renewals, request loss runs, and ensure documentation accuracy and completeness
  • Record and maintain transaction data within AMS and other Veracity systems
  • Assist with internal and external audits
  • Coordinate meetings, manage calendars, and schedule appointments
  • Support Sales and other departments with service-related items, projects, and cross-functional communication
  • Prepare and maintain reports, presentations, and internal materials
  • Manage shared inboxes, phone coverage, mail handling, and general office support
  • Monitor deadlines for policy renewals, compliance filings, and project milestones
  • Organize and maintain digital and physical files
  • Assist with onboarding and training new administrative staff
  • Identify and contribute to process improvements
  • Support event and meeting logistics
  • Maintain confidentiality, professionalism, and customer service in all interactions
  • Perform other duties as requested, directed, or assigned

Requirements:

  • High school diploma required
  • Minimum of two years of experience in the surplus lines or insurance industry, or a valid Property & Casualty (P&C) license with at least one year of related administrative or CSR experience preferred
  • Background in administration or accounting preferred
  • Proficiency in Microsoft Word, Excel, and Outlook preferred
  • Obtain and maintain a Property & Casualty (P&C) insurance license
  • Professional demeanor with excellent interpersonal and customer service skills
  • Proficient use of computer systems, email platforms, and document management tools
  • Regular and timely attendance
  • Accountability and consistency in task execution
  • Ability to uphold confidentiality and professionalism
