Job Description

Executive Assistant at Job Duck supporting leadership and managing daily operations. Role involves client communication, scheduling, and organization within a remote work environment.

Responsibilities:

  • Coordinate courier services and ensure timely deliveries
  • Provide exceptional customer service and client management support
  • Schedule and coordinate meetings efficiently
  • Manage and prioritize email communications
  • Organize and maintain electronic filing systems
  • Follow up with clients and leads to maintain engagement
  • Answer phone calls and manage incoming inquiries

Requirements:

  • Office Hours: 08:30 AM – 05:30 PM PST (US)
  • 2-3 years of experience working as an Executive Assistant or Office manager.
  • Experience with customer service tasks.
  • Software/Tools: Microsoft Office Suite, Google Workspace, Zoom, E-filing systems, scheduling platforms
  • Required Skills: Excellent organizational and time-management skills.
  • Strong verbal and written communication abilities.
  • Empathetic and client-focused approach.
  • Self-motivated and proactive mindset.
  • Ability to handle confidential information with discretion.
  • Detail-oriented with strong follow-through.
