Job Description
Virtual Assistant supporting daily operations for a tech-enabled cleaning company. Handling administrative tasks, marketing, and CRM management.
Responsibilities:
- Organize daily priorities, tasks, and workflows for the founder
- Assist with calendar management, task tracking, and general admin duties
- Monitor business systems and flag issues (e.g., automation or CRM errors)
- Follow up with inbound leads via phone, email, and SMS
- Manage and update CRM records accurately
- Ensure no leads fall through the cracks
- Assist with customer communications and service follow-ups
- Educate potential customers about services and next steps
- Assist with email campaigns and customer outreach (e.g., seasonal or end-of-year campaigns)
- Support marketing initiatives and basic funnel-building efforts
- Identify gaps or opportunities in marketing and client communication
- Assist with coverage coordination when cleaners call out
- Identify available team members and help fill schedule gaps
- Learn new tools, systems, and skills over time (funnels, automations, marketing tools, CRM workflows)
- Participate in ongoing training and professional development
- Take initiative to improve systems, processes, and documentation
Requirements:
- Fluent spoken and written English
- Confident and professional on the phone
- Strong organizational and time-management skills
- Comfortable working with CRMs and digital tools
- Basic understanding of sales, marketing, or customer service
- Proactive, dependable, and detail-oriented
- Ability to problem-solve independently and ask smart questions
- Experience with CRM systems (e.g., GoHighLevel or similar) (Preferred)
- Experience with email marketing or funnel tools (Preferred)
- Operations or executive assistant experience (Preferred)
