Job Description

Virtual Assistant supporting daily operations for a tech-enabled cleaning company. Handling administrative tasks, marketing, and CRM management.

Responsibilities:

  • Organize daily priorities, tasks, and workflows for the founder
  • Assist with calendar management, task tracking, and general admin duties
  • Monitor business systems and flag issues (e.g., automation or CRM errors)
  • Follow up with inbound leads via phone, email, and SMS
  • Manage and update CRM records accurately
  • Ensure no leads fall through the cracks
  • Assist with customer communications and service follow-ups
  • Educate potential customers about services and next steps
  • Assist with email campaigns and customer outreach (e.g., seasonal or end-of-year campaigns)
  • Support marketing initiatives and basic funnel-building efforts
  • Identify gaps or opportunities in marketing and client communication
  • Assist with coverage coordination when cleaners call out
  • Identify available team members and help fill schedule gaps
  • Learn new tools, systems, and skills over time (funnels, automations, marketing tools, CRM workflows)
  • Participate in ongoing training and professional development
  • Take initiative to improve systems, processes, and documentation

Requirements:

  • Fluent spoken and written English
  • Confident and professional on the phone
  • Strong organizational and time-management skills
  • Comfortable working with CRMs and digital tools
  • Basic understanding of sales, marketing, or customer service
  • Proactive, dependable, and detail-oriented
  • Ability to problem-solve independently and ask smart questions
  • Experience with CRM systems (e.g., GoHighLevel or similar) (Preferred)
  • Experience with email marketing or funnel tools (Preferred)
  • Operations or executive assistant experience (Preferred)
