Job Description

Executive Assistant and strategic Chief of Staff in Training maximizing the CEO’s time and output for a fast-growing company. Driving projects to completion and shielding the CEO from operational friction.

Responsibilities:

  • Attend all key meetings. Immediately draft concise notes (Decisions, Action Items), assign tasks in the project management system, and personally execute the maximum number of resulting action items, or rigorously track them until completed by the owner.
  • Conduct deep, nuanced research to identify and vet vendors, talent, partners, and personal services. Synthesize findings into clear, actionable recommendations for the CEO.
  • Act as the CEO’s Email Sentinel to hit Inbox Zero twice daily. Handle correspondence, draft communications, and produce a single, prioritized Daily Digest for the CEO.
  • Coordinate all travel arrangements, including flights, accommodations, and complex international itineraries. You are responsible for managing all moving pieces and ensuring seamless executive movement.
  • Manage the full lifecycle of vendors, track financial deadlines, assist with light financial audits, and organize necessary receipts and documentation.
  • Handle personal wellness management, including scheduling fitness classes, coordinating healthcare appointments, and managing personal administrative tasks.

Requirements:

  • Experience: 3+ years of experience as an Executive Assistant, Administrative Assistant, or similar role (supporting C-level executives strongly preferred).
  • High Standards: Exceptional organizational and multitasking abilities, with a meticulous attention to detail.
  • Tech Fluency: Expert user of Google Workspace, Slack, Zoom, and project management software (e.g., Monday, Asana, Trello).
  • Composure: High level of professionalism, discretion, and confidentiality.
  • Availability: Flexible with availability to support a global executive across time zones (occasional evenings/weekends may be required).
  • Communication: Excellent written and verbal communication skills (English proficiency is required).
