Job Description
HR Virtual Assistant coordinating recruitment lifecycle, leveraging technology for seamless candidate engagement at Assist World.
Responsibilities:
- Facilitate the full recruitment lifecycle, ensuring no candidate falls through the cracks and all stakeholders are kept informed
- Conduct initial CV screening against job descriptions, manage shortlists, and ensure the ATS (Applicant Tracking System) is meticulously updated
- Design and maintain automated recruitment workflows, including triggers for candidate status changes and automated email communications
- Coordinate complex scheduling for both live video interviews and asynchronous assessments, managing calendar invites across multiple time zones
- Prepare offer letters and manage the administrative tracking of pre-employment documentation (background checks, references, and right-to-work shifts)
- Serve as the primary point of contact for candidates, ensuring a professional, warm, and responsive experience throughout their journey
Requirements:
- Proven experience managing an ATS/HRIS (experience with Rippling is a significant advantage)
- Comfortable setting up automated sequences and using tools like Slack, Zoom, and Google Workspace
- Strong understanding of the hiring funnel and how to move candidates through stages efficiently
- Exceptional written and verbal English skills with a high degree of emotional intelligence
- Ability to handle sensitive legal documentation and personal data with 100% accuracy
- Highly organized with the ability to prioritize urgent tasks in a fast-paced environment
