Job Description

Medical Practice Administrative Assistant supporting Prenuvo’s proactive whole-body healthcare operations. Coordinating providers, patients, schedules, EMRs, labs, reports, and clinical workflows.

Responsibilities:

  • Develop and implement procedures to streamline provider onboarding, credentialing, and scheduling
  • Partner with clinic operations to ensure compliance with regulatory standards
  • Manage provider schedules and coordinate shift coverage to maximize clinical efficiency
  • Maintain electronic medical records and practice management systems accurately
  • Collaborate with providers and manage patient consult communications across the USA and Canada
  • Process incoming sedative requests and conduct patient outreach as needed
  • Identify urgent consults and execute rapid outreach to secure timely provider appointments
  • Monitor dedicated Slack channels for actionable internal requests
  • Facilitate patient dispute resolution and assist the Practice Manager with special projects and reporting
  • Support scanning workflow packages and guide patients from scheduling through post-scan follow-ups
  • Coordinate home lab draws with third-party providers and ensure results are finalized before consultations
  • Oversee timely delivery of specialized reports
  • Track patient progress and resolve operational delays or scheduling roadblocks
  • Maintain alignment between patients, sales, and clinical teams for seamless care coordination

Requirements:

  • 3–5 years of healthcare administrative experience, with exposure to primary care and/or radiology environments
  • High school diploma or GED required
  • Proficiency with practice management software, EMRs, Microsoft Office, Google Workspace, and modern collaboration tools such as Slack
  • Solid understanding of medical terminology and foundational radiology procedures
  • Strong organizational, problem-solving, and time-management skills with acute attention to detail
  • Ability to thrive under pressure and adapt to shifting priorities in a fast-paced, high-growth environment
  • Legally authorized to work in the United States at the time of hire and must not require employer sponsorship for a work visa, current or future
  • Successful completion of a background check
  • Standard office environment requiring long periods of sitting and computer work
  • Associate’s degree or Medical Administration certification preferred
