Job Description

Administrative Associate providing day-to-day support for the USA team at Loam Bio. Ensuring operational efficiency through scheduling, expense processing, and record management.

Responsibilities:

  • Manage scheduling, correspondence, document preparation, filing, and general administrative support for the US team.
  • Process expense reports, reconcile receipts, support invoice tracking, and assist with basic financial record-keeping in coordination with the Australia-based Finance team.
  • Organize and maintain operational records, compliance documentation, and filing systems relevant to US business activities.
  • Book travel, prepare itineraries, schedule meetings, and coordinate logistics for conferences, trade shows, and team events as needed.
  • Coordinate with vendors and suppliers to support US operations, manage incoming mail and deliveries, assist with employee onboarding logistics and recordkeeping.

Requirements:

  • Associate's or Bachelor's degree in Business Administration or a related field (or equivalent experience).
  • Minimum 1–2 years of experience in an administrative or office support role.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • High proficiency in Google Workspace (Docs, Sheets, Calendar, Drive).
  • Comfortable and experienced using collaboration tools such as Slack and Notion.
  • Ability to work independently while maintaining clear communication and alignment with stakeholders.
  • Ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment.
  • Experience working in agriculture, climate tech, or sustainability (desirable).
  • Familiarity with expense management platforms (e.g., Airwallex, ApprovalMax, Dext) (desirable).
  • Experience coordinating across multiple time zones (desirable).
  • Interest in carbon markets, soil health, or microbial technology (desirable).
