Job Description
Operations Coordinator supporting HR, compliance, finance, and IT workflows at WattTime, an environmental tech nonprofit. Coordinating distributed-team operations and employee processes.
Responsibilities:
- Assist with employee benefits, including renewals, research, and direct team support
- Maintain federal, state, and local compliance requirements for a fully remote and geographically distributed team
- Facilitate logistics for HR matters such as employee job changes and relocations
- Coordinate ongoing employee trainings and assist with onboarding and team training materials
- Coordinate team meetings, including scheduling, agendas, discussions, and guest attendees
- Assist with planning and logistics for in-person and virtual team events
- Complete system and internal audits
- Assist with financial audits and tax filings
- Assist with administering performance reviews
- Support hiring, onboarding, offboarding, and other HR-related operational workflows
- Provide support for sensitive or confidential HR matters
- Provide IT support, including hardware, accounts, subscriptions, and troubleshooting
- Support strategic improvements to operational and HR workflows and processes
- Assist with operations and HR research
- Assist with data entry, cleanup, recordkeeping, filing, and documentation
- Work with WattTime departments and external third parties to meet operational and HR needs
- Perform other job-related duties and assignments as needed
Requirements:
- 3+ years of experience in Operations, HR, or Administrative roles
- Ability to thrive in a small-team environment with broad responsibilities
- Impeccable attention to detail, process, and data quality
- Ability to proactively problem solve, anticipate needs, and follow through on complex workflows
- Strong time management and prioritization skills
- Ability to manage multiple concurrent projects, competing priorities, and deadlines with minimal oversight
- Ability to manage ambiguity and work in a fast-moving, ever-changing environment
- Ability to take direction and independently execute
- Excellent written and verbal communication skills
- Ability to collaborate with employees, applicants, and external partners professionally and empathetically
- Highly motivated and action-oriented
- Collaborative, respectful, and team-oriented approach
- Ability to work effectively remotely across regular U.S. work hours using Slack, Zoom, GSuite, and other tools
- Willingness and ability to travel to team collaborative sessions a few times a year
- Preferred: BA or BS degree
- Experience coordinating employee benefits preferred
- Experience creating onboarding and training materials preferred
- Experience or interest in working for a start-up, tech organization, and/or nonprofit preferred
- Must be authorized to work in the U.S.; work authorization verified through E-Verify after hire and completion of Form I-9
- Ability to sit and use a computer for extended periods
