Job Description

People Operations Specialist supporting day-to-day operations of a global team at Podean. Ensuring smooth coordination and operational support across the employee lifecycle.

Responsibilities:

  • Maintain and organize People systems, workflows, shared documentation, and internal records, ensuring data accuracy, completeness, and consistency across trackers.
  • Track and support key people processes such as performance reviews, training participation, handbook updates, and acknowledgements
  • Send reminders, follow-ups, and status updates to help teams stay on track with company-wide initiatives
  • Support full-cycle recruitment for junior to mid-level roles, primarily through coordination and operations, including interview scheduling, candidate communications, and logistics across time zones.
  • Maintain candidate tracking and ensure recruiting processes remain organized and efficient
  • Coordinate equipment provisioning, access setup, swag ordering, inventory tracking, and asset recovery
  • Coordinate onboarding and offboarding processes, ensuring employees have a smooth and welcoming experience from start to finish
  • Support employee programs and culture initiatives such as global calls, learning rollouts, engagement activities, and virtual events
  • Assist with travel and hotel bookings for team events, leadership meetings, and in-person gatherings

Requirements:

  • 2–3+ years of experience in HR Generalist, HR Operations, People Operations, HR Administration, Recruitment Coordination
  • Demonstrated experience supporting full-cycle recruitment, particularly for junior to mid-level roles, including interview scheduling, candidate coordination, and recruitment tracking
  • Strong background in HR data administration, including maintaining employee records, trackers, and HR databases with a high level of accuracy
  • Excellent organizational skills and attention to detail, particularly in handling confidential and regulated employee information
  • Proven ability to manage multiple priorities, meet deadlines, and follow through consistently in a fast-paced environment
  • Clear, professional written and verbal communication skills, with experience coordinating across stakeholders and departments
  • Hands-on experience using HR systems and tools such as Google Workspace, Slack, Zoom, HRIS, ATS, or similar platforms
