Job Description
Prospecting Support Virtual Assistant supporting NYC-based sales team with outbound prospecting and lead management. Ideal for organized and detail-oriented candidates.
Responsibilities:
- Maintain and manage a master list of prospective customers
- Clean, organize, and update prospect data regularly
- Research and enrich missing contact information (e.g., email addresses, company details)
- Send initial outreach emails using pre-approved templates
- Personalize messaging where required while maintaining brand tone
- Ensure timely and professional communication with prospects
- Track outreach activity, responses, and follow-ups in a centralized system
- Manage follow-up cadence to ensure no leads are missed
- Update lead statuses and maintain accurate records at all times
- Maintain clear and consistent reporting on outreach activity and results
- Identify and flag interested or qualified leads
- Route qualified prospects to the appropriate internal team members
Requirements:
- Strong organizational and data management skills
- High attention to detail and accuracy
- Ability to manage multiple tasks and follow structured processes
- Comfortable working with spreadsheets and tracking systems
- Previous experience in a virtual assistant, sales support, lead generation or administrative role
- Experience with CRM systems, outreach tools or lead tracking platforms is preferred
- Familiarity with email outreach and prospecting workflows is a plus
- Strong written English skills (this role involves regular email communication)
- Ability to communicate clearly, professionally, and confidently
- Available to work full-time (9:00 AM – 5:00 PM EST)
- Reliable internet connection and remote work setup
- Comfortable working in a structured, process-driven environment
