Job Description

Executive Assistant role in a U.S. strategy and brand consulting studio. Focused on reducing founder's cognitive load and operational leverage.

Responsibilities:

  • Act as the founder’s operational brain extension.
  • Turning chaos into clarity
  • Protecting time, attention, and priorities
  • Anticipating needs before they surface
  • Designing simple systems that prevent repeat confusion
  • Acting with judgment, not just responsiveness
  • Create leverage that does not wait for instructions.
  • Full ownership of calendar, inbox, scheduling, and follow-through
  • Drafting and responding in the founder’s voice with warmth and precision
  • Summarizing long threads into decisions, actions, and priorities
  • Preparing daily and weekly briefs outlining what happened, what matters, and what requires decisions
  • Filtering noise to keep the founder operating at the correct altitude
  • Convert voice notes, Slack messages, Looms, meetings, and ideas into clear, actionable tasks
  • Build and manage ClickUp tasks with owners, deadlines, dependencies, and context
  • Track execution across multiple parallel workstreams
  • Relentlessly close loops and ensure follow-through
  • Identify risks and issues before they escalate
  • Prepare decision-ready options without prompting
  • Make judgment calls within agreed-upon guardrails
  • Liaise with strategy, design, operations, and delivery collaborators
  • Maintain meeting rhythms, agendas, notes, and follow-ups
  • Ensure the right information reaches the right people at the right time.

Requirements:

  • Operated above their formal title
  • Supported a founder, CEO, or senior leader in a fast-paced environment
  • Experience as an Engagement Manager, Project Lead, Operations Generalist, Founder’s Associate, or high-judgment EA
  • A strong inclination toward systems, structure, and clarity-building
  • Interest in a clear growth path toward Chief of Staff–level responsibility
  • Executive Assistant experience is valuable.
  • Strategic or operational experience is equally valuable.
  • Judgment, ownership, and learning velocity matter more than pedigree.
