Job Description
Remote admin assistant and receptionist serving as the virtual front desk for an Australian real estate agency. Handling calls, inquiries, scheduling, CRM updates, and property-management administration.
Responsibilities:
- Act as the first point of contact for the real estate agency
- Answer incoming calls, identify caller needs, and direct callers to the appropriate team member
- Return missed calls, follow up on general inquiries, and make outbound calls to clients, tenants, or tradespeople
- Take detailed messages, capture lead information, and log inquiries for follow-up
- Answer basic questions about property listings, inspection times, and appointment bookings
- Coordinate and schedule appointments, property viewings, and meetings
- Make friendly but firm follow-up calls to tenants regarding rent arrears
- Update client profiles, call logs, and incoming inquiries in the CRM
- Liaise with agents and property managers to communicate critical information
- Handle email correspondence, basic data entry, and file organization
Requirements:
- Flawless verbal and written English skills
- Warm, confident, and professional phone manner
- Quick learner able to switch between phone calls, administrative tasks, and system updates
- Highly dependable and honest when handling sensitive client information in a remote environment
- Previous experience using PropertyTree is a massive advantage
- Resourceful and eager to grow; receptive to feedback
- Proven capability in effectively using Generative AI and automation tools to enhance daily output, draft communications, and optimize administrative processes
- Previous experience supporting the Australian Real Estate industry is a major plus
- Prior experience in a receptionist, front desk, or phone-heavy customer service role
- Reliable high-speed internet
