Job Description
Part-time Virtual Assistant/Account Manager in a growing digital marketing agency. Coordination of client, contractor, and internal workflows with project management and quality assurance.
Responsibilities:
- Serve as the primary point of contact for client communication once projects are underway
- Join client calls and confidently discuss campaign direction, requested changes, and recommendations for improving marketing performance
- Collect, clarify, and document client feedback in a structured way
- Follow up proactively with clients to keep projects moving
- Deliver monthly reports and updates related to campaign performance
- Manage incoming client requests via internal request forms
- Translate client requests into clear, actionable tasks for copywriters, designers, video editors, and the web team
- Assign tasks, track progress, and ensure deadlines are met
- Identify bottlenecks, delays, or communication gaps and resolve them quickly
- Provide regular summaries to the founder on project status, risks, and priorities
- Review deliverables before client submission and ensure work meets client requirements, agency standards, and campaign objectives
- Support the onboarding of new clients after a deal is closed
- Ensure clients understand how the agency works, timelines and deliverables, and communication expectations
- Act as a trusted guide, especially for clients who are unsure of what they need
- Respond to inbound leads and inquiries, explain agency services, history, and capabilities, and assist with proposals in collaboration with the founder
Requirements:
- Prior experience working in a marketing agency or similar environment
- Strong understanding of:
- Digital marketing workflows
- Campaign components (web, social, content, creative)
- Excellent written and verbal communication skills
- Confident speaking with clients on video and phone calls
- Assertive, professional, and comfortable setting expectations
- Highly organized with strong follow-through
- Able to think strategically and make recommendations to clients
- Experience with the following is strongly preferred:
- ClickUp (core project management tool)
- GoHighLevel (CRM, websites, social scheduling)
- Google Workspace (Docs, Sheets, Drive)
- Slack (internal communication)
