Job Description

Executive Assistant supporting a consulting firm driving innovation and leadership evolution. Managing the founder’s operations, communication, and scheduling with discretion and authority.

Responsibilities:

  • Manage the founder’s inbox using a context driven, stage gated approach that includes prioritization, drafting executive level responses, and responding on behalf of the founder when appropriate.
  • Oversee complex Outlook calendar management in a high demand environment, including protection of deep work time, evaluation of meeting value, and proactive conflict resolution.
  • Anticipate upcoming preparation needs, decision points, and scheduling risks before they are escalated.
  • Lead the onboarding and ramp up phase by proposing and implementing structured workflows, communication norms, and operating rhythms for the role.
  • Identify operational gaps, inefficiencies, or recurring friction points and independently design and implement solutions.
  • Own recurring and ad hoc initiatives by tracking progress, coordinating stakeholders, and ensuring follow through to completion.
  • Leverage AI tools to streamline workflows, enhance productivity, and improve executive output beyond basic task automation.
  • Draft and manage high stakes communications with senior leaders, consulting clients, and external partners with clarity and professional authority.
  • Act as a trusted gatekeeper, screening requests and managing sensitive information with discretion and sound judgment.
  • Support specialized one off projects, research efforts, and strategic initiatives as assigned, maintaining high quality standards throughout.

Requirements:

  • Proven experience in a senior level Executive Assistant, Operations, Project Management, or consulting adjacent role.
  • Advanced proficiency in Outlook and Microsoft 365 with the ability to quickly adopt new tools and systems.
  • Exceptional English fluency for executive level written and verbal communication.
  • Demonstrated experience using AI tools such as ChatGPT or Claude to support research, communication, workflow optimization, and decision support.
  • Familiarity with tools such as Salesforce, Asana, PowerPoint, and Canva.
  • Strong critical thinking skills with the ability to understand intent, assess context, and act independently.
  • High sense of urgency combined with attention to detail and accuracy.
  • Partnership mindset, viewing the role as an extension of executive leadership rather than task based support.
  • Emotional resilience and confidence operating in high pressure, high expectation environments.
