Job Description

Human Resources Coordinator supporting recruiting, onboarding, compliance, and HRIS administration at Hinshaw & Culbertson, a national U.S. law firm. Serving employees and candidates across firm offices.

Responsibilities:

  • Coordinate full-cycle recruiting activities for business professional positions, including job postings, interview scheduling, candidate communications, and applicant tracking
  • Serve as the primary candidate contact throughout recruitment
  • Manage new hire onboarding, including offer letters, background checks, reference verifications, pre-employment requirements, and orientation scheduling
  • Prepare and distribute new hire paperwork, including I-9, W-4, tax forms, benefits materials, policies, and confidentiality agreements
  • Coordinate employee orientation with HR leadership, IT, and practice group administrators
  • Track training completion and maintain HRIS training records
  • Assist with compliance involving federal, state, and local employment laws and regulations
  • Maintain personnel files, I-9 forms, and employment records securely and confidentially
  • Support administration and communication of HR policies and procedures
  • Update employee handbooks and policy documentation
  • Prepare and submit regulatory filings and reports, including EEO-1 reports and OSHA logs
  • Coordinate internal and external audits of HR records and practices
  • Respond to employment verification requests, unemployment claims, and third-party inquiries
  • Serve as a first point of contact for employee questions about HR policies, benefits, payroll, and workplace matters
  • Escalate complex or sensitive issues to HR management
  • Coordinate offboarding, including exit interviews, firm property collection, and personnel record updates

Requirements:

  • Bachelor's degree in Human Resources, Business Administration, or related field required
  • Minimum of three years of experience in human resources coordination or related administrative role
  • Experience in a law firm or professional services environment strongly preferred
  • Working knowledge of federal and state employment laws, HR best practices, and compliance requirements
  • Demonstrated experience with HRIS platforms and strong technical aptitude
  • Advanced proficiency in Microsoft Office Suite
  • Knowledge and experience using AI tools
  • Excellent written and verbal communication skills
  • Ability to interact professionally with attorneys, business professionals, and external contacts at all organizational levels
  • Strong organizational and time management skills, with ability to manage multiple priorities, meet deadlines, and maintain attention to detail
  • Ability to handle confidential and sensitive information with discretion, professionalism, and sound judgment
  • Resourceful and proactive problem-solving approach
  • Ability to work independently and as part of a team
  • Strong customer service orientation with a collaborative, solutions-focused mindset
  • Must currently reside in the Eastern Time Zone of the United States
